How Erasmus+ KA1 funding is built

An Erasmus+ KA1 staff mobility is not funded as a single pot. There are four independent budget lines, calculated separately, that do not compete with each other. Understanding that is what turns "can we afford this?" into a budget you can defend in front of your leadership team.

  • Course fees. The programme assigns this line up to €80 per participant per day, capped at €800 per participant and activity.
  • Travel. A lump sum by distance band, with a top-up for green travel. It is not a reimbursement: if you travel cheaply, the project keeps the difference.
  • Individual support. A daily rate covering accommodation and living costs, payable for activity days plus travel days.
  • Organisational support. An additional amount granted to the school per participant.

The full breakdown, including what your National Agency will ask you to evidence, is in what the KA1 grant actually covers. If you want to see the numbers for a specific group, tell us the sending town and how many people are travelling and we will map it against the current rates. You can browse the programmes on our courses in Spain page.

Frequently asked questions

Are these figures official?

The 80 euro per day and 800 euro per activity ceiling on course fees comes straight from the Erasmus+ Programme Guide. Travel amounts follow the distance bands. Individual and organisational support are set by each National Agency within European ranges, so those two fields are editable and the defaults are only a starting point.

Why do I have to check the distance band myself?

The official band is calculated from your exact town, not from your capital city. We preselect a band from your country as a starting point, but in large countries the real figure can fall in the neighbouring band. Use the European Commission distance calculator to confirm.

Does the grant really cover everything?

For a six-day structured course, usually yes. The four budget lines are calculated independently and do not compete with each other, so a well-planned mobility normally costs the participant nothing. The risk is cash flow, not the total: the balance of the grant arrives after the final report.

What if my course costs more than the fee ceiling?

That is common: most quality structured courses are priced above it. The ceiling applies to the course-fee line alone, and the four lines are granted together, so schools normally balance it against the travel or individual support lines. What matters when you plan is the grant total, which is what this calculator shows.

Is my data sent anywhere?

No. The whole calculation runs in your browser. Nothing leaves the page unless you choose to ask us for the breakdown by email.
